Job Summary:
The Taleo Staffing Coordinator is responsible for assisting the Recruiting Staff and Hiring Managers to effectively administer the recruiting and electronic onboarding process associated with the company’s Applicant Tracking System (ATS) – Oracle Taleo. This position requires a person who can work effectively in a fast paced, deadline driven, results oriented environment.
  • Provides a high level of customer service via email and/or phone to hiring managers by answering questions and providing support related to the recruiting processes within the ATS.
  • Approves and posts all positions internally and externally, including various job boards, colleges, social media sites and other advertising sources via the ATS.
  • Sends the job posting link to employees to announce new postings and ensures internal candidates are tracked through the ATS.
  • Manages candidate flow through the ATS. Ensures that candidate status is accurate and current.
  • Prepares and extends electronic offer letters and packages for new hires and internal transfers in a timely basis.
  • Communicates with candidates and delivers hiring materials depending on situation.
  • Monitors open requisitions and ensures that there are no duplicates and postings are removed from the ATS and all job boards in a timely manner.
  • Works with the Talent Acquisition Lead to perform ATS updates and system maintenance as changes occur.
  • Maintains a good working knowledge of the company’s ATS and its functionality; utilizes system reporting capabilities for tracking candidates, hiring activity and sourcing statistics.
  • Other duties as assigned.
  • Associates or Bachelor’s degree in Human Resources or relevant field preferred.
  • One year of experience working with an ATS or other business infrastructure system (required); ATS experience with Oracle Taleo preferred.
  • Experience in the execution of talent acquisition processes (i.e., onboarding, hiring, etc.)
  • Experience sourcing passive candidates (i.e., ATS, Indeed, LinkedIn, etc.)
  • Detail oriented with the ability to learn new tools and processes quickly. Strong communication skills, both written and verbal.
  • Works well with all levels of hiring managers with ability to quickly and calmly resolve issues.
  • Capable of prioritizing work responsibilities effectively based on business demands; can multi-task and handle tasks in their various stages; and has the ability to work independently without constant supervision.
  • Computer proficiency with Excel, Word and Outlook.
  • Must maintain high level of confidentiality.
